This position is responsible for overseeing and managing all aspects of payroll processing for Canada for union or non-union payrolls (as applicable). The position is responsible for assisting with the effective operation of the payroll department, overseeing staff, ensuring the timely and accurate processing and disbursement of funds for payroll for all unionized payroll groups.  This role reports to the Country Payroll Director. The Payroll Supervisor ensures, compliance with relevant payroll regulations, and effective communication with internal stakeholders.

 

This position will be a hybrid model based from our Oakville Office.

 

Responsibilities

Oversight of payroll processing

  • Oversee the end-to-end weekly payroll processing for union and non-union employees, including but not limited to data entry, calculations, and auditing, for all payroll groups with unionized employees
  • Ensure payroll practices comply with all local, provincial/state, and federal regulations for all non-union employees as well as collective bargaining agreements for union employees (if applicable)
  • Prepare and Audit payroll transactions for correct coding, adequate documentation and proper level of approval
  • Verifies and approves adjustments to pay
  • Prepares special payments for severance and terminations including calculating final deductions and remittances from payments
  • Provide payroll processing support when required
  • Identify areas of improvement within payroll processing and develop, implement, and maintain procedures and policies related to payroll processing
  • Address payroll-related inquiries from departments, managers, employees promptly and professionally, providing exceptional customer service
  • Identify opportunities to streamline payroll processes, improve accuracy, and enhance overall efficiency
  • Work closely with cross-functional teams such as HR, HRIS, Finance, and Legal to ensure alignment on payroll matters

 Oversight of payroll administrators including

  • Supervise and provide guidance to the payroll team when required, to ensure high performance and professional development
  • Provide training to payroll administrators.

 

Reviewing and auditing of union transactions (if applicable)

  • Reviews and approves all monthly union remittances.
  • Verifies and ensures that all monthly union remittances are reconciled to general ledger with variances justified.
  • Liaison with Accounting manager regarding general ledger inquiries.
  • Ensures monthly union remittances are reconciled to payroll.
  • Ensures all pension contributions are reconciled to year end source documents.
  • Ensures all terms of the union agreement are followed pertaining to payroll.
  • Assists in collective agreement changes pertaining to rate changes, employer contributions.

 Preparing and auditing payroll transactions (as applicable– various payroll groups may be assigned to this role as needed)

  • Audits timesheets for correct coding, adequate documentation, and proper level of approval

  • Ensures source documents and backup documents are complete, authorized, and timely
  • Ensures all terms of employment standards, federal and provincial payroll tax laws and regulatory requirements, and company polices are followed
  • Prepares special payments for severance and terminations including calculating final deductions and remittances from payments
  • Tracks employee advances to ensure recoveries by payroll deduction or direct withdrawal are processed
  • Processes and tracks employee garnishments
  • Prepares and amends online ROE’s.
  • Investigates and corrects any discrepancies in payroll information

 

Support Payroll Director & Payroll Compliance SME

  • Provide support for year-end payroll activities.
  • Assist with payroll integrations.
  • Participate in audits, supporting HR, Finance, external stakeholders
  • Support with payroll programming pertaining to Pangea

 Other work duties as assigned.

Requirements

KNOWLEDGE, SKILLS & ABILITIES:  

  • High degree of accuracy and attention to detail
  • Strong understanding of payroll regulations, tax laws, and compliance requirements.
  • Experience with payroll systems and software, with proficiency in UKG.
  • Excellent communication skills and ability to interact effectively with employees at all levels.
  • Ability to lead and mentor a team of payroll professionals
  • Ability to manage multiple projects or assignments at one time
  • Ability to meet deadlines
  • Strong analytical and problem-solving skills, with a keen eye for detail.
  • Prior experience in an industrial service or inspection service company is a plus.

EDUCATION:

  • This position requires a high school diploma
  • Payroll Compliance Professional designation
  • 7+ years of experience in payroll experience
  • 2 years of supervisory experience is preferred
