Position Summary

Acuren is looking for a Projects and Operations Coordinator to join our Fort Saskatchewan office. Reporting directly to the Divison Manager, this position plans, schedules and dispatches staff and resources in a timely manner to meet the needs of customer work requests. The role involves receiving and tracking service requests, reviewing invoicing, validating employee rates of pay and entitlement, and ensuring efficient resource utilization and tracking. The position also identifies opportunities to convey Acuren’s vision to be a trusted partner by reducing the client’s overall cost to operate and improve customer satisfaction. 

Responsibilities

1. Support the provision of timely and effective customer service by:


• Responding to verbal and electronic service requests;
• Completing work orders and quotes for as per customer requirements;
• Balancing the work demands and customer needs to efficiently plan and schedule staff work assignments;
• Communicating with the client regarding scheduling and project status;
• Providing staff with clear communications/information regarding their work assignments;
• Ensuring applicable collective agreement provisions are consistently applied in the technician/client interaction.
• Effectively and quickly managing issues/conflicts/ priorities related to the planning, scheduling and dispatching of staff and equipment/resources to support a smooth work flow.


2. Organizing work by:


• Ensuring staff are provided with all necessary tools and equipment to perform the work;
• Reviewing technician certifications and equipment calibrations to ensure currency;
• Ensuring technical staff possess the skills and expertise needed to perform the available work;
• Tracking service/work orders/PO’s to prevent cost overruns and reviewing DTR’s for accuracy;
• Ensuring invoices include all applicable charges prior to timely submission to the customer.

 

3. Assisting in the development of staff by:


• Maintaining and updating the roster of technical staff;
• Scheduling safety, radiation safety and other required training courses;
• Participating in performance and developmental reviews;
• Identifying opportunities to improve staff satisfaction and engagement;
• Recommending initiatives to reduce employee turnover.

Requirements

Hold a secondary school diploma complemented by a minimum of 2 years’ industry-related experience; a post-secondary diploma in a related field, supervisory experience, and experience in the NDT or engineering industry are preferred.

 

Be eager to learn and understand the following:


• Acuren’s range of technical services and variety of service lines provided in order to appropriately deploy resources;
• An understanding of clients’ technical needs to effectively fulfill service requirements;
• Knowledge of equipment needed to perform specific tests and inspections;
• Knowledge of the QCC collective agreement to ensure compliance with terms and conditions.

 

Possess the following skills and abilities:


• Solid interpersonal and communication skills to effectively manage a broad range of internal and external contacts;
• Proficiency in use of Microsoft Outlook, Word, and Excel;
• Excellent problem solving, customer service, organizational and time management skills.
• Consistently demonstrates an understanding of, and compliance with, responsibilities under the provincial Occupational Health and Safety Acts and Regulations, ISO Systems and Acuren Safety and Quality Management Systems, policies and procedures.
