Acuren is presently seeking a full-time Payroll Administrator to bolster our Canadian operations. This role entails managing weekly payrolls for both union and non-union hourly employees, alongside delivering top-notch payroll assistance to our staff. The incumbent will handle payroll transactions, meticulously auditing data to guarantee precise and punctual salary and deduction dispersals.

Position

  • Full time role
  • Monday to Friday, regular business hours
  • Remote position based out of Acuren Oakville office

Responsibilities

Preparing and auditing payroll transactions:

  • Audits timesheets for correct coding, adequate documentation and proper level of approval;
  • Verifies and performs approved adjustments to pay;
    Ensures source documents and backup documents are complete, authorized and timely;
  • Ensures all terms of the union agreement, employment standards, federal and provincial payroll tax laws and regulatory requirements, and company policy are followed;
  • Prepares special payments for severance and terminations including calculating final deductions and remittances from payments;
  • Tracks use and payment of miscellaneous paid leaves, tracks use of unpaid time off;
  • Tracks employee advances to ensure recoveries by payroll deduction or direct withdrawal are processed.
  • Processes and tracks employee garnishments;
  • Prepares and amends online ROEs;
  • Responds to enquiries from staff in a professional manner;
  • Investigates and corrects any discrepancies in payroll information.

 

Validation and Remittance of employee deductions:

  • Calculates employee/employer contributions and remits benefit premiums;
  • Prepares remittance documentation and submits payment (Federal & provincial tax, WCB, education tax, CPP, etc.);
  • Prepares and balances T4s;
  • Prepares monthly union reports.

 

Participates in process improvement initiatives by:

  • Identifying and communicating system problems to supervisor;
  • Performing systems tests as required including payroll system setup and changes to legislative deductions and requirements;
  • Reviewing and updating procedures/spreadsheets to reflect current information;
  • Updating calendars, schedules and rates to reflect annual changes;
  • Providing recommendations for improvement to or automation of payroll functions.

Requirements

  • Payroll Compliance Practitioner (PCP) Certificate;
  • 5+ years of experience in full cycle payroll processing ideally with large organizations;
  • Experience working with UltiPro would be considered an asset.
  • Knowledge of payroll including Federal and Provincial Employment Standards and payroll-related regulations;
  • Proficient in Microsoft Excel;
  • Exceptional detail orientation;
  • Able to work independently and adjust to rapidly changing situations in a deadline driven environment;
  • Provide excellent customer service, troubleshoot and resolve payroll issues;
  • Be self-directed and motivated, as well as a team player;
  • Excellent communication, interpersonal and client services skills;
  • Ability to maintain a high level of confidentiality.
